Compare documents with AI: ask for the changed passages

Keep exact versions, pair each reported difference with evidence, and check small changes that a broad summary may miss.

Two instructions look almost identical. One says to send the schedule before approval; the other says after approval. A summary saying “the process is unchanged” misses the one word that reverses the order. Ask for an evidence trail, not just a verdict about similarity.

Fix the versions before comparing them

Keep untouched copies and label them A, earlier version, and B, later version. Record their filenames and revision information. If a file changes during the review, the old comparison no longer describes that exact pair. Do not let an assistant silently compare a cached draft with the current document.

For each difference, request the section or paragraph, a short exact passage from A, the corresponding passage from B, and an explanation. Separate additions, removals, wording changes, and formatting. Ask it to mark uncertain matches, especially where a section moved.

Use a fictional test pair before trusting a larger comparison. In A, paragraph 2 says “Send the schedule before approval”; B says “Send the schedule after approval.” Give both the same paragraph 3: “Keep a copy.” The report should identify the order change without inventing a change to paragraph 3. Passing this sample is not proof that every later difference will be found.

Check the evidence against a separate comparison

Word for Windows has a document comparison feature. Keep its output in a new document; choosing an original or revised document as the output instead can modify that file. Review the comparison options and any prompt about existing tracked changes before proceeding. Other Word editions may differ.

Use that result alongside the AI report and inspect the original passages yourself. A moved section may appear as removal plus addition, and many formatting changes can obscure a small change in meaning. NIST describes confidently wrong generated content as a risk; a fluent explanation is not confirmation.

Save the checked report with the exact two source versions and note any unresolved passages. “No differences found” should describe the scope of your check, not promise that the documents are interchangeable.
